Do I need this?

Good fit if:

  • You are a contractor, tradesperson, handyman or installer in Canada who sends quotes and invoices from a spreadsheet
  • You want to see who owes you money and how late they are, without a notebook
  • You want the GST/HST rate for each province and the invoice information the CRA lists, in one place

Not a fit if:

  • You need accounting software that emails invoices, takes card payments or does payroll. This is a spreadsheet and it does not do those things.
  • You want it to decide whether PST, RST or QST applies to your work. You choose. The workbook only does the arithmetic.
  • You need French-language invoices for Quebec language rules, deposits and holdback as accounting items, progress claims, or the quick method.
  • You need tax advice. Talk to an accountant or check canada.ca.

Not sure? Read the refund promise below. You have 30 days to try it.

Who it is for

  • Contractors, tradespeople, handymen and installers in Canada
  • Small businesses that send quotes and invoices from a spreadsheet and want to see who owes what
  • Anyone who wants the GST/HST rate and the invoice information the CRA lists in one place

The problem

Quotes in one file, invoices in another, payments in a notebook. At month end you cannot say who is late. You look up the GST/HST rate and PST rules again. Provincial rules also differ and change.

What is inside

  • Excel workbook (13 tabs, formulas only, no macros): Start Here, Dashboard, Settings, Customers (100), Quotes (150), Invoices (300), Lines (800), Payments (500), Print, Tax Summary, Rates, Invoice Rules, Sources.
  • Quote to invoice flow: pick the quote on the invoice and bill 100%, or a share such as 50% for a deposit or a stage. Add extra work as lines on the invoice.
  • GST/HST by province: rates from the CRA calculator page, with the date checked. You pick the province of supply.
  • PST, RST and QST arithmetic: worked out on the price before GST, shown as its own line. You decide which lines it applies to.
  • Payment tracker with flags: Paid, Due soon, Overdue (with days late), Overpaid, Void. Ageing buckets and a top 10 overdue list on the Dashboard.
  • Printable quote and invoice page: type a number, print or save as PDF. Up to 25 lines.
  • CRA invoice information check: flags missing information at the CRA $100 and $500 levels. For Quebec invoices that charge QST, it also asks for a description of the work.
  • Tax Summary: sales and tax by month and by province, to help fill your own returns.
  • A filled-in sample copy (fictional contractor) and a sample quote and invoice PDF with three printed examples.
  • 8 page guide (PDF) with links and the date each source was checked, and a README with a 10 minute quick start.

Formulas only, no macros. It should open in Excel and Google Sheets (tested in LibreOffice only). Yellow cells are for you, grey cells are formulas.

A look inside

Select a picture to make it bigger. All names and numbers are made up.

What it is not

  • It is not tax, legal or accounting advice. Numbers are estimates.
  • It does not decide whether PST, RST or QST applies to your work. You choose. How it applies to contractors in Saskatchewan and Quebec was not confirmed.
  • It does not file anything, and does not do input tax credits on your purchases or the quick method.
  • Not handled: deposits and holdback as accounting items, progress claims, when GST/HST on a deposit is due, prices that include GST/HST, invoices in French under Quebec language rules, card payments, emailing invoices.
  • It does not promise any income, savings or tax result.
